Get an Apostille in Maine for International Document Use

A Maine document bound for another country usually needs an apostille before a Hague Convention member will accept it. The Maine apostille, issued by the Secretary of State, confirms the authority, signature, and seal of the notary or official who signed the record.

The Secretary of State authenticates only what originates in Maine: certified vital records, official state and municipal records, court documents with the required certification, business paperwork, academic transcripts, and private papers a commissioned notary has notarized. For other destinations, the process changes to authentication for non-Hague countries, sometimes followed by federal, embassy, or consular steps.

Maine Apostille Requirements

A State of Maine apostille or authentication is issued only after a document is prepared correctly. The process varies depending on the type of record:

  • Certified records. Vital, court, and municipal documents must be official certified copies issued by the appropriate government office. To obtain a Maine birth certificate apostille or Maine marriage certificate apostille, begin with a certified copy from the state or municipal vital records office.
  • Educational documents. Diplomas and transcripts typically need an authorized school official’s signature and proper notarization before submission.
  • Business and public documents. These must be originals or certified copies bearing the signature of an eligible Maine public official.
  • Private documents. Contracts, affidavits, and other privately signed documents must be properly notarized by a Maine Notary Public.

Each submission must include a completed Apostille/Authentication Request form identifying the destination country. For notarized documents, the notarial certificate must state which act the notary performed. An apostille for documents notarized in Maine cannot be issued if this wording is missing or incomplete.

FBI Background Check Apostille Services in Maine

Maine residents may need an apostille on an FBI Identity History Summary, commonly called an FBI background check, for immigration, residency, citizenship, international employment, a visa, adoption, overseas study, or professional licensing. Because this is a federal record, it falls outside the authority of the Maine Secretary of State.

Instead, the request goes to the U.S. Department of State’s Office of Authentications. The destination country determines the process:

  • A Hague Convention country requires a federal apostille for an FBI background check.
  • A non-Hague country requires a federal authentication certificate and may also require embassy or consular legalization.
