One Source Process Makes Obtaining an Apostille Simple
An apostille is a form attached to your US document that verifies the authenticity of the seals and signatures, and are commonly used when submitting documents to other countries.
Apostilling documents can be a complex process. In most cases, you must obtain an original or certified copy of the document you are required to apostille. Once received, the document will have to be submitted to the issuing office of authentications, such as the Secretary of State, the US Department of State in Washington, DC, or the embassy or consulate.
The biggest challenge in the apostille authentication process is the unique requirements of each document one must meet before the paperwork is valid for apostille. This is why One Source Process offers a commitment-free document review service that will ensure your documents meet all the requirements necessary for apostille or embassy legalization.
Our comprehensive document apostille services allow us to prepare, file, and obtain the apostille for every state on your behalf – in the most convenient and professional manner. We can sometimes provide same-day apostille service for personal and business documents. But please keep in mind that federal documents through the US Department of State take more time. To get started: complete our Order Form.

Common Mistakes We Watch For
It’s easy to make a mistake when gathering the required documents. And that is why we offer a free review of all paperwork before we submit the apostille application. Mistakes can be made by the notary signing the papers, the county clerk’s office, or you. But don’t worry; we double-check everything first.
Some common mistakes we have found are:
- The notary’s license expired
- Papers not notarized properly
- The county clerk’s document is expired
- Specific states require the Triple Seal page, which is sometimes forgotten
- You mistakenly had your birth certificate notarized when it should be a certified copy instead.
- Not all the correct boxes were checked, or a signature was missed on the application form.
Even the smallest error can cause your application process to be delayed or rejected. To prevent this, we carefully review each document.

Common questions about Apostille and Legalization
An “apostille” is a form of authentication issued to documents for use in countries that participate in the Hague Convention of 1961. An Apostille is issued as an attachment and will validate the authenticity of your document to the foreign entity you are required to present your document to. One Source Process offers standard and expedited apostille and legalization services.
We are capable of obtaining an apostille on documents such as birth certificates, FBI reports, transcripts, marriage certificates, death certificates, FBI background reports, social security letters, company bylaws, powers of attorney agreements, trademarks, diplomas, transcripts, treaties, warrants, extraditions, agreements, certificates of good standing and much more!
Yes! We can apostille a scanned copy of any personal, business, or U.S. State-issued document including vital records such as birth, death, and marriage certificates. It takes minutes to submit a request with us online here. Just upload a clear, color scan of the document you’d like to have authenticated and we’ll ship back the copy to any domestic or international address with an original apostille attachment. Copies of vital records will receive a New York apostille and all other document copies receive a District of Columbia apostille. Please note that this method, while widely accepted in most cases, does have limitations depending on the authority you’re presenting it to and country of use. One Source Process will always advise our apostille services clients of these restrictions when we review your request but does not guarantee that they will be accepted. If you want more information regarding our photocopy Apostille process, please visit our page here.
