How to Get an Apostille in Illinois

In Illinois, an apostille is issued by the Illinois Secretary of State. It verifies the signature or seal of a public official on a document so it can be recognized in countries that participate in the 1961 Hague Apostille Convention

This certification is available for eligible records issued in Illinois, documents certified by a state or local public authority, and private documents properly notarized by a commissioned Illinois notary public. Illinois authentication for non-Hague countries follows a different process and may require additional federal, embassy, or consular steps.

Illinois Apostille Requirements

The Illinois Secretary of State will only process documents that meet specific eligibility standards:

  • Public records. Government-issued documents — birth and marriage certificates, court orders, corporate filings — must be original certified copies issued by the relevant Illinois authority. The document must carry the official signature or seal of the issuing office.
  • Notarized documents. Powers of attorney, affidavits, and copies of passports and other private documents must be notarized by a commissioned Illinois notary public. The notarization must be current and complete, with an original signature, seal, and a full notarial certificate. Photocopies are not accepted unless they have been properly certified or notarized.
  • Academic documents. An Illinois diploma or transcript apostille request may require notarization, even if the document already bears a school seal or a school official’s signature.

FBI Background Check Apostille Services in Illinois

Anyone in Illinois who is applying for immigration, employment, residency, adoption, study, teaching abroad, or international background verification may need an apostille for their FBI background check. The key thing to understand is that an FBI Criminal History Report is a federal document — the Illinois Secretary of State has no authority to apostille it.

A federal apostille request must be processed through the U.S. Department of State Office of Authentications in Washington, D.C. One Source Process provides FBI apostille service for Illinois residents:

  • confirming destination country requirements;
  • preparing documents correctly;
  • routing to the U.S. Department of State;
  • managing return delivery.

How to Avoid Illinois Apostille Delays and Rejections

Even carefully prepared applications can be returned when small details are missing or incorrect. These are some of the most common reasons for Illinois apostille delays and rejections:

  • incorrect or incomplete notarization;
  • missing notary details;
  • no original signature or seal;
  • photocopies submitted instead of certified copies;
  • federal documents sent to the state office;
  • apostille requested when embassy or consular legalization is required;
  • translation or additional notarization requirements not checked in advance.
