Get an Apostille in Florida for International Document Use

Getting married abroad, working in another country, pursuing international studies, or adopting a child overseas are common reasons Florida residents need official document authentication. A Florida apostille certificate confirms the authority of the official or notary who signed the document, allowing Florida-issued records to be accepted in countries that participate in the 1961 Hague Apostille Convention.

Not every destination accepts an apostille. Florida authentication for non-Hague countries follows a longer legalization process, beginning with Florida Department of State authentication, then U.S. Department of State certification, and, when required, embassy or consular legalization. Federal documents follow a separate path and must be submitted directly to the U.S. Department of State because Florida offices do not have the authority to authenticate them.

Florida Apostille Requirements

Each document type follows different preparation rules before it can be submitted to the Florida Department of State. Here are the Florida apostille requirements to prevent the most common sources of delay:

  • Vital records. A request for a Florida birth certificate apostille or a Florida marriage certificate apostille involves a two-step process. If you don’t already have a certified copy of the vital record, it must first be obtained from the Florida Bureau of Vital Statistics or a county office. Then, it can be submitted to the Florida Department of State for an apostille. Photocopies are not acceptable at any stage.
  • Notarized documents. When notarization is required, the document must include the original Florida notary’s signature, stamp, and seal, along with a complete notarial statement. Any missing element can cause the submission to be rejected.
  • Business documents. For a Florida business document apostille, corporate records must be issued or certified by the appropriate Florida agency before submission. Plain copies or outdated records may not be accepted.
  • Academic documents. A Florida diploma apostille or transcript apostille usually requires notarization by an authorized school official before the document is submitted for apostille processing. A school seal alone may not be enough.

FBI Background Check Apostille Services in Florida

A large number of Florida residents — particularly those applying for visas, work permits, residency, or citizenship abroad — need an apostille on their FBI background check. This is where a very common mistake occurs: an FBI Criminal History Report is a federal document, and the Florida Department of State has no authority to apostille it. Submitting it to the Florida state office causes delays that can set back an entire international application.

A Florida federal apostille request for an FBI background check must be processed through the U.S. Department of State Office of Authentications in Washington, D.C. One Source Process provides FBI apostille service for Florida residents from start to finish:

  • confirming destination country requirements;
  • preparing the documents correctly;
  • routing the request to the appropriate federal authority.

Why Choose One Source Process for Florida Apostille Services

A single apostille mistake — such as a missing stamp, photocopied certificate, incomplete notarization, or document sent to the wrong authority — can delay your international plans for weeks. One Source Process helps prevent these issues by reviewing your documents before submission to the Florida Department of State or any other required authority. We check signatures, notarizations, document versions, and formatting details before any payment is required.

Once the review is complete, we route each document through the correct process. State-issued and notarized documents go to the Florida Department of State, while federal documents are submitted to the U.S. Department of State. For non-Hague destinations, we can also arrange embassy or consular legalization when required. If your destination country requires translation, we provide certified translations in over 250 languages. Completed documents are returned by tracked FedEx or DHL, whether you are in Miami, Tampa, Orlando, elsewhere in Florida, or abroad.
