Terms and Conditions

Please read the Terms of Service and Conditions before you send us your documents for processing. We reserve the right to update our Terms of Service and Conditions at any time.

One Source Process, LLC. works closely with the US Secretary of State, US Department of State, Embassies and Consulates in the US and other US Government offices to facilitate the issuance of apostilles (this includes authentications, attestations, legalizations and certifications) at your request. We make every effort to process your request in a timely manner. Please be aware that the issuance of an apostille is entirely at the discretion of the issuing US Government office, Embassy or Consulate. The US Government, Embassies or Consulates, have the final say on whether to approve or deny an application on the apostille to be issued. One Source Process, LLC guarantees that they will submit your apostille to the appropriate US Government office, Embassy or Consulate, as instructed by you. However, One Source Process, LLC makes no guarantee that the US Government, Embassies or Consulates, will issue an apostille exactly as you requested.

Additionally, One Source Process, LLC makes no guarantee that the country you are requesting your apostille for will accept your documents even if the appropriate US Government office, Embassy or Consulate, has issued you an apostille. Once you have mailed your documents to our office, you agree that you have verified them with the country requesting it. Once the apostille is provided by the appropriate US Government office, Embassy or Consulate, and the apostille has been returned to you, One Source Process, LLC will have completed their obligation of service.

By sending your apostille application to One Source Process, LLC, you accept all the requirements, restrictions and limitations on liability set forth herein and specifically agree that One Source Process, LLC shall not be liable to you for the action or inaction by the US Government or for the performance by any third party delivery company. At all times and under all circumstances, One Source Process, LLC’s total liability to you for any claims, liabilities or damages of any kind, shall not exceed the service fees paid by you to One Source Process, LLC. Under no circumstance shall One Source Process, LLC be liable to you for any indirect or consequential losses and damages, including lost profits or punitive damages. Your sole remedy against One Source Process, LLC for failure to obtain an apostille, authentication, attestation, legalization and/or certification in a timely manner shall be the One Source Process, LLC service fees actually paid by you.

Your personal data: We physically store your personal data such as your contact information, order request, credit card authorization form, supporting documentation, etc. for up to one year. Once we have held your personal data for one year, we will securely destroy your personal data. Electronic personal data will be be stored for a longer period of time. One Source Process, LLC takes security seriously and handles your personal data and documents with the utmost professional care. However, once your documents are in the hands of the US Government, Embassy, Consulate, courier (FedEx, UPS, DHL, etc.), affiliate, One Source Process, LLC shall not be held liable for the handling of your personal data and documents.

Tracking Software: When you provide us your information, you agree to allow us to contact you by email, phone, and/or text messages. Please note that we use certain third party service providers (ie Google, Live Chat) on our Site to enhance your experience or deliver certain services. These providers may collect your Personal Data in performing their services and/or functions on our Site.

Bounced Checks: If your check bounces, you agree to pay a penalty fee of $65.

Cancellations: One Source Process, Inc. service fees are charged for submitting your application to the appropriate US Government office, Embassy or Consulate, and such fees are non-refundable even if your apostille is denied by the US Government, Embassy or Consulate. Approved apostilles will not be returned until full and final payment has been received by One Source Process, LLC. If you wish to cancel your request and avoid fees, the cancellation request must be made before your application is submitted to the US Government, Embassy or Consulate. Once applications have been submitted to the US Government, Embassies or Consulates, our services will have started and refunds will not be provided. If you cancel before your application is submitted to the US Government, Embassy or Consulate, One Source Process, LLC will issue a refund of your payment minus a 10% service fee and any applicable return mailing costs.

Processing Times: Our processing times are based on business days. It begins from the date that we receive your physical document(s) and does not take into consideration the courier shipping to and from the client and One Source Process, LLC. One Source Process, LLC will not be held responsible for any delays incurred by the US Government, Embassy, Consulate or couriers (FedEx, UPS, DHL, USPS, etc.), whether due to weather or a shutdown, and neither discounts nor refunds will be issued. Upon completion of your request, your apostille will be dropped off or picked up by one of our couriers and shipped to you based on your return shipping request.

Guarantee: If we are unsuccessful in obtaining your apostille due to our mistake or mishandling of your document, we will provide a full refund. If we are unsuccessful in obtaining your apostille because you did not properly follow our directions, neither a full or partial refund will be provided. If you decide to have us re-attempt your apostille, a $75 re-attempt fee will be added to your invoice.

Refund Policy: Once payment is received you are only eligible to receive a refund prior to your documents being submitted to the Secretary or Department of State. This does not include the cost of any used shipping labels. Any cancellation prior to documents being submitted for processing will incur a fee that is 10 percent of the invoice total.

Lost Documents: We will not be held responsible for lost documents shipped from the client to One Source Process, LLC. If a document is lost in transit from the client to us, the client will be responsible for contacting the courier or shipping company who attempted to deliver the document to try and locate the lost document. If we complete our service and your document is lost by either the US Government or by our courier (FedEx, UPS, DHL, etc.) en route to you, One Source Process, LLC will make their best effort to locate the lost document. The client will allow us 30 calendar days to locate the lost document after it has been discovered missing. If the lost document is not recovered after 30 calendar days, One Source Process, LLC will re-attempt the service free of charge.

Translation of Documents: All documents needing an apostille must first be apostilled and then translated. Our translators do not represent other countries. They do not know the laws of other countries or the specific requirements of the Embassy or Consulate offices. The translator’s responsibility is solely to translate your documents into the language you requested. One the translation is completed, it will be emailed to you. A physical copy of your translation will be shipped to you upon your request and a $45 domestic shipping fee or $75 international shipping fee. If you find errors in your translated documents, please let us know within 90 days of receipt of your translations and we will make our best efforts to correct any errors.

County Clerk Certification: In certain situations, your documents may require an additional certification from the County, Court, Health Department, etc before it can be apostilled. The cost to certify documents from the County, Court, or Health Department is $95-$125 per visit no matter the number of documents.
